Legal Assistant

We are seeking a motivated and detail-oriented Legal Assistant to join our team. As a Legal Assistant, you will play a crucial role in supporting our Legal Team, Board of Directors, and internal shareholders. The successful candidate will be self-confident, with superior organizational and time management skills. The role requires a demonstrated regard for confidentiality, a high level of judgment, and the ability to work independently and handle a variety of responsibilities.

Roles and Responsibilities

  • Provide day-to-day administrative support for the Legal Team, including managing calendars, arranging travel, expense management and reporting, and other operational duties
  • Organize and schedule Board, Committee, and internal Shareholder meetings
  • Attend and take minutes of Board, Committee, and internal Shareholder meetings
  • Assist in preparing agendas and materials for Board, Committee, and internal Shareholder meetings
  • Provide administrative support to Board and Committees
  • Assist with annual corporate filings in multiple jurisdictions
  • Assist with filing of insurance and corporate applications in multiple jurisdictions
  • Maintain and organize legal files, Board, Committee, and Shareholder meeting materials
  • Assist the Legal Team with document preparation

What you offer

  • Successful completion of college program in Legal Assistant or Law Clerk diploma program
  • 3 to 8 years of experience
  • Previous experience in a law firm or legal setting is an asset
  • Excellent verbal and written communication skills
  • Professionalism, strong interpersonal skills with the ability to work in a team environment as well as independently
  • Ability to work effectively and confidently with all levels of stakeholders
  • Diplomacy and tact to deal with confidential information and situations
  • Strong attention to detail and minute-taking and organizational skills
  • Proven ability to manage multiple priorities, while continuing to meet deadlines and deliver quality results
    Proficient in MS Word, Outlook and Excel
  • Experience leveraging AI tools for greater efficiency is an asset
